How do I find available jobs?

Select the View All Available Jobs link on the homepage. This selection opens the "Available Jobs" page which includes a comprehensive list of any assignments that have been posted by employees within your district(s). Select a job to view its details, including a phone number and/or notes about the assignment. If you wish to accept the job, press the Accept button at the bottom of the page.

How often does the app search for jobs?

The Frontline Mobile app syncs with your account on the Absence Management website (app.frontlineeducation.com). As soon as jobs appear available on the website, it simultaneously appears available on the Mobile app.

How do I filter and sort available jobs?

Substitutes can use both "sort" and "filter" options to streamline their job search. This functionality includes the option to:

  • Sort available and scheduled jobs by job date ( jobs up next) or post date (jobs most recently posted)
  • Filter available and scheduled jobs by school name, employee name, post date, and job date

How do I view jobs from more districts/locations?

Location visibility will vary based on the district(s) with which you are affiliated. You can manage your personal information, PIN, preferred schools, call times, and district list by accessing the Absence Management application. Select Visit Website from the mobile app's menu or go to app.frontlineeducation.com. Once logged in, select the "Preferences" option in your application's side navigation.

Ensure you have not accidentally restricted visibility for some schools, and add/manage any additional districts with which you may be affiliated via these preferences.

If you do not see the "Schools" option in your preferences, then the district has not granted you permission to edit school preferences. You would need to contact the district to inquire why you are not granted permission to edit school preferences.

If a visibility issue persists, you can reference your organization's contact details by accessing the Absence Management application and selecting the   Help Resources icon in the top right corner of the application to contact your District Admin. 

How do I switch between district views (as a multi-district sub)?

If you are a multi district sub using the mobile app, you should see all available jobs in all your districts, regardless of which district you are currently viewing. There is no need to "Switch" between district views on the app. The app only has a multi district view. You cannot view districts individually, like you can on the website.

If you do not see available jobs in one or more of the districts, then there are likely no jobs available in that district within your visibility profile. You would need to contact the district if you have questions regarding why you are not seeing available jobs in a specific district.

Why do I not see available jobs?

The app is designed to display whatever jobs the website sends to it. If you do not see jobs on the app, go to the website at app.frontlineeducation.com and confirm if any jobs appear there.

  • If you see jobs on the website that do not appear on the app, reach out to support and provide screenshots of the discrepancy between the app and the website.
  • If no jobs appear on the website, then this would likely be an issue with your visibility profile.

Each substitute has their own unique visibility profile assigned to them by the district. This profile determines which jobs they can/cannot see in their account, as well as, which jobs they can/cannot be assigned to.

If another substitute is able to see a job that you are not, that is likely because their visibility profile is set up differently than yours. These visibility profiles are created and maintained by District Administrators. They can see every job in the district and could tell you exactly why you are unable to see/be assigned to the job.

If you have questions regarding visibility profiles, or why you cannot see/be assigned to a job, please contact your District Administrator for assistance. They should be able to assist with these questions. You can reference your organization's contact details by accessing the Absence Management application and selecting the   Help Resources icon in the top right corner of the application.

Can I recover a rejected job?

Unfortunately, you cannot recover a rejected job assignment.

Can I cancel an accepted job?

Once accepted, not all jobs will have the option to cancel. (These restrictions might occur if a job is too close to its start time, etc.) If you can cancel a job, you will see a red "Cancel Job" button on the Job Details page (Menu > Jobs > Scheduled).

If you get an error message during cancellation that states, "Unable to Cancel, please contact district," this means that either your district has not given its subs permission to cancel jobs, online or through the app, or that the job start time is too close to the time you are trying to cancel the job.

Please contact your District Administrator if you require assistance. You can reference your organization's contact details by accessing the Absence Management application (app.frontlineeducation.com) and selecting the   Help Resources icon in the top right corner of the application.

How do I view my scheduled jobs?

The homepage provides the first point of reference for potential, upcoming assignments and your next scheduled job. Select a specific assignment under the "Next Scheduled Jobs" section to view its details or access the "Available Jobs" list to review a more broad, comprehensive list of all the available jobs in your district(s).

If you reference the list of all available jobs in your district(s), you will see an additional "Scheduled" tab at the top of the page. Select this option to view a comprehensive list of all your accepted assignments.

The Frontline Mobile app calendar displays scheduled jobs and past jobs. It does not display available jobs or non work days. You can view available jobs in the Available Jobs widget, and you can see your non work days by visiting the website at app.frontlineeducation.com.

How do I manage call times?

If you wish to edit your options, please log in at app.frontlineeducation.com and select the Preferences option on the Absence Management home page. (You will need to access the web version of your Absence Management application to determine these call preferences. You cannot perform the changes directly through the mobile app.)

From the Preferences page, select the Call Times option and proceed to edit individual days or enable/disable calling altogether.

How do I manage non work days?

You will need to access the "complete" website version of the Absence Management application to block out dates and create Non Work Days. You can select Visit Website from the mobile app's menu or go to app.frontlineeducation.com to access the web sign in page.

Non Work Days can be added via your Absence Management homepage, beside the Available, Scheduled, and Past Jobs tabs.

Where can I locate my PIN or Frontline ID?

This information will need to be managed within your Absence Management application. You can select Visit Website from the mobile app's menu or go to app.frontlineeducation.com to access the sign in page.

Once logged in to Absence Management, you can manage your Frontline ID and password via the dropdown listed beside your name in the top right corner of the application page. Select the Account Settings option in the dropdown and once opened, choose "Frontline ID."

To manage your PIN and Phone Login ID, select Preferences via your side navigation and choose the Phone Credentials option.

How do I recover my username or reset a password?

Open the sign in page for the Frontline mobile app and select the "Forgot Username" or "Forgot Password" link (beneath the Username and Password entry boxes). Either selection will prompt you to provide additional account details.

Once these details are entered, the system will email you information to recover your username or reset your password.

Where can I manage my account settings?

You will need to access the "complete" website version of the Frontline application to manage your Frontline Account Settings (e.g., Profile, Frontline ID, Address, etc). You can select Visit Website from the mobile app's menu for quick navigation to the sign in page or go to app.frontlineeducation.com.

 Device Settings

How do I set up notifications?

First, review the following phone settings to ensure the app has the correct permissions to send notifications.

We also recommend you allow the app to use data while running in the background.

IOS

Go to Settings > General > Background App Refresh. Make sure this setting is turned ON. You may not see the Frontline app shown here, but you need to turn on Background App Refresh, in general. You can then turn off the individual apps that you do not want to run in the background.

Android

Go to Settings > Connections > Data Usage > Mobile Data Usage. Select the Frontline App and make sure both “Allow Background Data Usage” and “Allow App while Data Saver is On” are turned ON.

Make sure the volume is turned up on your phone.

Once you confirm the settings on your phone are correct, sign into the mobile app with your substitute account. Stay logged into the account, but make sure the app is running in the background of your phone (i.e., not open on the screen).

When a job is posted, you should receive an audible and visual notification.

How do I reset registration/test notifications for sound?

You can test the notification sound by resetting your registration. Please follow the instructions below to reset the registration.

Press the Menu option. Then, press and hold on the Frontline logo at the bottom of the screen.

This causes a new page to open. Select Reset Registration.

Once selected, a confirmation states, "Your push token has been reset," and a test notification will occur. If you do not see this message on the first attempt, press the reset button a few more times until you see the confirmation message appear. This visual confirmation indicates the desired notification reset has occurred. 

Can I customize sound notifications?

The Frontline mobile app defaults to using a personal Frontline notification sound, but you may have a few customizable options, depending on your device.

IOS

To use a different notification sound, go to the Frontline mobile app Menu > Settings and press the Mobile Push button beside "Notification Sound." Select which notification sound you want to use and press Save.

Android

If you are use an Android device and would like to select your own sound for push notifications, you can do so in your phone settings. Each Android device has its own unique process for changing the notification sound.

Visit the Help section in your specific device for detailed instructions on how to change your notification sound for specific apps. You can also search "How to change the notification sound for specific apps on (enter your phone type)" via a web browser. This may provide additional support details for your device.

How do I add accepted jobs to my phone's calendar?

When you accept a job on the Frontline mobile app, you should see a link on the job details to "Add to Calendar." A first-time selection of this option will prompt you to allow access to your calendar.

If you click that "Add to Calendar" link, the job should be added to your phone's default calendar.

If you do not see the job on your calendar, then you may want to check if you have multiple calendar apps on your phone and which one is set up as your default calendar.

Is the Frontline mobile app free?

Yes, the mobile app is completely free to use.

How can I find my pay stub, W-2, or other payment information?

Frontline Education is not a staffing agency. It does not employ substitutes, although it provides tools for districts to use during the hiring and substitute placement processes. You will need to contact your district or staffing agency directly for payment information or any questions about policies and procedures, specific absences, or troubleshooting.
